How Inlet works with Twiinworkspace

The twiinworkspace integration with Inlet connects meeting room bookings with physical access control.

Once configured, confirmed meeting room bookings in twiinworkspace can automatically provide the booking contact and guests with temporary access to the relevant meeting room door.

Access can be delivered either as:

  • An unlock link sent by SMS
  • A temporary PIN code, when the connected door has a PIN pad

The access is valid only for the configured booking window.

What twiinworkspace does

twiinworkspace remains responsible for the meeting room booking and the users associated with it.

When a booking is confirmed, twiinworkspace:

  • Identifies the meeting room and associated door
  • Sends the confirmed booking to Inlet
  • Receives the generated access information from Inlet
  • Sends the access link or PIN to the booking contact and/or registered guests
  • Shows the SMS delivery status in the booking
  • Allows an operator to remotely open the door from the booking page if required

This means operators continue managing their meeting rooms and bookings from twiinworkspace while Inlet handles the connection to the access control system.

Prerequisites

Before using the integration:

  • A valid twiinworkspace subscription with the Inlet integration must be configured.
  • The relevant access control integration must be connected.
  • Each meeting room using access control must be assigned to the correct door lock.
  • The lock must be operational and online.
  • The booking must be confirmed.
  • For SMS-based access, at least one booking contact or guest must have a valid supported mobile number.

The current twiinworkspace documentation describes the integration using Paxton Net2 as the access control system.

Configuring a meeting room

In twiinworkspace, go to:

Manage → Meeting Rooms

Edit the meeting room that should have access control enabled.

Under Inlet Integration:

  1. Select the appropriate Access Control Integration for the building, floor or estate.
  2. Select the correct Door Lock for the meeting room.
  3. Select the required Unlock Type:
    • Link — the user receives an SMS containing a link that remotely opens the door.
    • PIN — the user receives a PIN to enter on the door's PIN pad.
  4. Save the meeting room.

The booking and access journey

1. A meeting room is booked

The meeting room booking is created and confirmed in twiinworkspace.

Only confirmed bookings are processed by the integration.

2. twiinworkspace sends the booking to Inlet

By default, confirmed bookings are sent to Inlet approximately 30 minutes before the booking starts.

This window can be adjusted.

If a booking is confirmed during this period, the integration updates every few minutes so the booking can still be synchronized before it begins.

3. Inlet creates the access

Once Inlet receives the booking, the relevant temporary access is created for the configured meeting room door.

The resulting unlock information is returned to twiinworkspace.

4. The guest receives an SMS

The booking contact and/or guests receive an SMS containing either:

  • An unlock link, or
  • A PIN code

The SMS can be sent a configurable number of minutes before the booking starts. The documented default is 5 minutes.

Access remains valid for the configured period before, during and after the meeting.

5. The guest opens the meeting room

For link-based access, the guest simply opens the link in the SMS to unlock the door.

For PIN-based access, the guest enters the received PIN on the door's PIN pad.

Once the door has been successfully unlocked, a confirmation is shown to the user.

Operator remote opening

If a guest has problems receiving or using their access, an authorised twiinworkspace user can open the meeting room door directly from the confirmed booking.

Open the booking and select Open Door.

This provides an operator fallback without requiring separate access to the underlying access control system.

Troubleshooting

If access is not working:

  1. Verify that the door is online in the access control system.
  2. Verify that the correct door has been assigned to the meeting room in twiinworkspace.
  3. Verify that the booking is confirmed.
  4. Verify that the booking has a valid contact or guest mobile number.
  5. Check whether the SMS has been sent from the confirmed booking page.
  6. If the SMS has arrived but the door does not open, verify that the booking is currently within its configured access window.

For installations using Paxton Net2, an offline door should first be investigated using the normal Paxton/IT troubleshooting process.

If all of the above is correct and the integration still does not work, contact technologywithin support.

Summary

With twiinworkspace + Inlet, twiinworkspace remains the system used for meeting room bookings and guest management, while Inlet provides the connection between the booking and the physical access control system.

The result is a simple journey:

Book meeting → Confirm booking → Inlet creates access → Guest receives SMS → Door opens
